ACTRA’s Online Commitment to Privacy Statement

ACTRA has created this Privacy Policy in order to demonstrate our commitment to your privacy. This statement governs the privacy practices used on the www.www.actra.ca website. We understand that your trust in us is imperative. We have implemented this policy to fully disclose to you the personal information we collect from you, what we do with that information, the control you have in providing us with the information and your ability to make changes to the information we have about you. What Information is Collected via our website?

The public may view our website without registering or providing any personal information, this does not include areas of the website such as the member login section, where a login name and password are required. In order to become a member of ACTRA, it is necessary to complete and submit the standard application form. The application form contains a request for personal information. ACTRA members must provide certain personal information as a condition of membership, as stipulated in ACTRA’s By-Laws. Members’ personal information is password protected and its availability is limited to people who have a “need to know” within the organization as part of their employment duties. The personal information that we collect and maintain is as follows:

  • Social Insurance (Social Security) Number
  • First and Last Name (Stage and Legal)
  • E-Mail Address
  • Street Address City/Town Postal Code
  • Contact Telephone Numbers and Agency Contact Information
  • Performer Type and Status
  • Branch Location
  • Canadian Residency and Citizenship
  • Gender
  • GST/HST/QST Numbers
  • Accounting Transactions and Work History

Members’ personal information is used to generate a Username and Password that may be used to access the member only section of our website at www.www.actra.ca website, ACTRAonline.ca and related microsites and the ACTRA Membership System.

How Do We Use The Information We Collect?

Members’ personal information is used to communicate with members which includes sending mail, national and branch newsletters, referendum voting information, dues invoices and tax receipts. Members’ personal information is also used to reconcile with information held by the ACTRA Fraternal Benefits Society (AFBS) and ACTRA Performers’ Rights Society (ACTRA PRS) as well as other membership purposes.

ACTRA members are included in ACTRA’s online talent catalogues, ACTRAonline (http://actraonline.ca/)  and related microsites. You may choose to include your résumé and credits in addition to your headshot. This allows casting directors, producers and others from the industry to view your full résumé, and profile, including contact information, skills, and any credits you include.

Who We Share Your Information With?

ACTRA does not sell, distribute or otherwise make available your personal information without your consent. We share your information with AFBS and ACTRA PRS, in order to cross-reference and exchange payment information, process change of addresses and to facilitate member benefits and use fee payments. AFBS and ACTRA PRS have access to your personal information in order to perform their work functions. Payroll companies, domestic and international Collective Management Organizations and Engagers receive information containing a Member’s ID number, branch ID, stage name (first and last), Social Insurance Number, country of residence and contact information in order to facilitate payments made to members. ACTRA also provides contact information to engagers to facilitate the engagement of ACTRA members.

Processing payments (if you are using our online payment system)

Members who use the ACTRA National Online Payment System, may have their personal information provided to the applicable financial institution(s), and processors under contract with ACTRA National. For financial institutions and processors, the use of personally identifiable consumer information is governed by federal and provincial privacy laws. The use and distribution of member personal information will be used by such entity for its internal use related to fulfilling the transaction services for ACTRA National, will be treated as confidential by this entity, and will be transferred between ACTRA National and this entity only via encrypted means.

Accessing and Updating Member Information

Members may review, correct, update or change their personal information at any time. Access to their profile to review and edit the information in the member only section is by login and password. Members may also request that their ACTRA branch edit their information. Members may be requested to submit this request to their branch in writing. When requesting a branch edit information, the branch will contact the member to confirm that the member made the request in order to ensure privacy, confidentiality and security of information.

Use of Information by ACTRA Employees

In the course of daily operations, access to private, sensitive and confidential information is restricted to authorized employees who have a legitimate work purpose for accessing it. As a condition of their employment, all ACTRA employees are required to abide by the privacy standards established by ACTRA. All employees are expected to maintain the confidentiality of information at all times. Agency information may be provided to those who request it, but no personal information is disclosed without the member’s permission.

Security

ACTRA has installed security related software to protect members information. This is done to protect from accidental loss, unauthorized access, use, alteration or disclosure. However, it is important to recognize that no computer system or online database is completely free from risks of unauthorized intrusions or hacking.

Cookies

During user interaction with one of our internet sites, we use a browser feature called a ‘cookie’ to collect information anonymously and track user patterns on our websites. A cookie is a small text file containing a unique identification number that identifies the users operating system type, IP address and each time a person visits one of our sites. Cookies tell us which pages of our sites are visited and by how many people. This helps us to enhance the online experience for visitors to our website.

To forward your complaint to the ACTRA National Executive, please send a letter or e-mail to the address listed below. Please mark clearly on the envelope or in the title of your e-mail that your letter is related to ACTRA’s Privacy Policy. If you are not satisfied after having dealt with us, your issue will be referred to an impartial third party.
